Job Title: Clinic Admissions Assistant Reports To: CA Manager Level: Experienced Location: Nashville Classification: Full time, non-exempt Education: High School Required, College Degree/CNA/MA Preferred Job Shift: Day, Monday-Friday 10:00 a.
m.
-6:30pm Mission: We provide a continuum of evidence-based substance abuse and mental health services for women in an environment of faith and healing to restore hope and a lifetime of recovery.
Summary: The Clinic Admissions Assistant will organize and monitor a high energy, fast paced clinic which processes incoming admissions.
This person will also be willing to help other staff when needed.
Primary Responsibilities and Duties include the following: Facilitator of admission communication and intake process from “Door to Floor” for incoming clients.
Greet new admissions - includes but not limited to welcoming client out of lobby and settled in the waiting area.
Track progress of all new admits throughout the admission process ensuring all tasks are completed prior to the client transition to floor.
Responsible for tracking data related to length of time clients spend in each portion of the admission process.
Works in either the clinic desk or bag search area on a rotating basis Manage waiting area volume/acuity alerting appropriate staff members when needed.
Keep clinic area organized, clean, stocked, and free of Protected Health Information.
When working in the front desk/waiting room area: assist client’s with intake paperwork and scan necessary documents into the electronic health record.
Keep bag search area stocked with supplies including but not limited to office supplies, paper, bag search forms, bag search supplies, disinfecting products, etc.
Assist with stocking incoming medical supplies for the clinic.
Create and maintain levels of Welcome Folders and Intake paperwork including materials needed.
Maintain calm environment of clinic area.
Assist with obtaining vital signs and performing/preparing labs (within scope) if needed.
Performing Urine Drug Screens, assisting bag searches, and body searches when working in the bag search area and as needed.
When working in the bag search area: responsible for gathering all belongings from the client, securing them, and labeling them appropriately following a detailed search to ensure unapproved or contraband items are not allowed to remain with the client during their stay.
When working in the bag search area: complete a detailed log of all unapproved items, obtain client’s signature, and store items per facility policy.
Assist with obtaining client’s room key, transporting to assigned floor, and provide a tour of the facility with introduction to staff on their team.
Education and Experience: High School required, Bachelor’s degree in social work, counseling, or related field preferred.
At least one year of experience working with women in substance abuse/addiction perferred.
Experience working in healthcare, crisis center or therapeutic environment preferred.
CNA or Medical Assisting certificate/training preferred.
Knowledge, Skills, And Abilities: Demonstrate ability to clearly and succinctly communicate both verbally and in writing; can get messages across that have the desired effect.
Demonstrate ability to remain calm under pressure; is not knocked off balance by frequent change, delays, or unexpected events.
Demonstrate an active desire to drive for results; steadfastly pushes self and others; consistently meets and/or exceeds goals.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Demonstrate a working knowledge of current policies, practices, trends, and developments affecting the industry; knows the competition.
Must be able to relate well to all kinds of people, both inside and outside the organization; build appropriate rapport; build constructive and effective relationships; use diplomacy and tact; can diffuse even high-tension situations comfortably.
Ability to exercise good judgment and apply common sense understanding to carry out instructions furnished in written or verbal form.
Ability to establish and maintain professional therapeutic boundaries Other Requirements: Possess proficient computer skills including but not limited to Microsoft Teams, Outlook, Word, Excel, and PowerPoint.
